Reception and Administration Staff
We employ helpful and pleasant reception and administration staff who will be pleased to answer any general queries you may have. Our receptionists work a rota behind the reception desk and the scenes in the office. We operate a fully computerised appointments system and we are working towards a ‘paperless practice’. We have a computer link to the path lab at the Countess of Chester Hospital so blood and test results are received daily. All consultations are recorded onto the computer by the GPs and all letters are scanned into the records daily.
Our receptionists arrange appointments, welcome patients to the surgery, answer patient queries and carry out administration tasks. They will make arrangements for you to see the doctor or practice nurses. They do a difficult and busy job so please be patient if they can’t attend to you straight away.
Please give the Receptionists as much information as you can in order to help them help you. They may need to ask for further details or check information in your medical records when you telephone the surgery. They are bound by the same rules of confidentiality as the doctors and nurses. Everything that you tell them is treated in confidence.
Please appreciate that receptionists are not qualified to discuss your clinical care but they will do their best to point you in the right direction. Please show the same courtesy to them as with all members of the team.
The Data Inputters are responsible for receiving, sorting and summarising patient records so they are easy to understand and use, and then adding all the information to the practice computer system. They also capture information from letters and reports received from hospitals and other services.
The medical secretaries arrange referrals for patients to hospital and follow up queries left with them by the clinicians. They type all the letters left for them via dictation. Some referrals are sent by electronic means, other by post.
The Secretaries perform an administration role to members of the Primary Health Care team, supporting the demands of a modern public health service. They assist the practice manager, take minutes at meetings, maintain our practice website and produce a quarterly newsletter for the practice. They have also produced a range of patient information leaflets. They are happy to assist patients in queries about hospital appointments and results. They deal with all Insurance and Solicitor requests, medical examinations and reports and private forms.
